Association event operations

Find the room-block exceptions worth reviewing before cutoff.

RosterMeld compares one event-registration export with one hotel pickup export and delivers a source-traceable reconciliation workbook—without calls, portal credentials, reservation changes, or contract interpretation.

No portal credentials
No hotel or guest contact
Source-row accounting
Ambiguity stays visible
Purchased result

One bounded operational artifact.

The pack is designed to help an event team decide what deserves review. It does not tell the customer what its hotel contract means or promise a financial outcome.

Match ledger

Registration and hotel source rows remain traceable, with deterministic match status and provenance.

Exception queue

Unmatched, duplicate, date-variance, and ambiguous records are separated for customer review instead of being silently guessed.

Room-night summary

Room-night totals and variance are calculated only against targets supplied by the customer.

Process

A no-call workflow by design.

Self-qualify

Confirm the event, authority, file, volume, timing, and scope requirements.

Pay and upload

Once activated, use hosted checkout and a secure upload-only request. Never email raw event files.

Validate and reconcile

RosterMeld validates inputs, processes deterministic matches, and performs independent QA.

Receive and review

The customer receives the workbook, reviews exceptions, and controls every external action.

Self-qualification

Does the event fit the initial service?

This checker runs entirely in the browser and does not send or store responses.

1. Are you ordering for a U.S. association or association management company?

2. Does this order cover one event and one contracted hotel?

3. Is the contracted cutoff normally 10–21 days away?

4. Can you provide one registration export and one hotel pickup/rooming-list export in supported CSV form, each with no more than 1,500 rows?

5. Are you authorized to provide both files for this reconciliation purpose?

6. Can the files exclude payment data, government IDs, home addresses, minors, health/accessibility/dietary details, sensitive affiliations, and free-text notes?

7. Do you need only file reconciliation and an exception queue—not contract interpretation, hotel/guest contact, negotiation, or reservation changes?

8. Do you lack an adequate existing housing platform, provider, or hotel audit that already produces this result?

Potentially eligible

The event appears to fit the initial scope. Ordering is not open yet; no information was sent or stored.

Not eligible for the initial offer

RosterMeld will not custom-fit unsupported events. The initial service remains one event, one hotel, supported files, and reconciliation only.

FAQ

Clear scope before purchase.

Does RosterMeld interpret our hotel contract?

No. The customer supplies any room-night targets. RosterMeld compares accepted files and performs arithmetic without determining contract meaning or liability.

Will RosterMeld contact the hotel or attendees?

No. The customer controls all hotel, attendee, reservation, and negotiation activity.

Do you need our portal credentials?

No. Portal credentials are prohibited. The customer supplies authorized exports.

Is the service fully automated?

No automation claim is made. Initial delivery may include standardized manual and AI-assisted review, with deterministic processing and independent QA.

Can you handle multiple hotels or citywide events?

Not in the initial offer. Unsupported scope is refused rather than custom-fitted.

Do you provide calls or video support?

No. Qualification, purchase, file transfer, delivery, correction, billing, and support are asynchronous.
